Exhibitor Terms & Conditions

Responsibilities of Legacy Media, The Wedding Guide of New Mexico and NM Wedding Expos:

  1. Arrange a bridal show, at which Vendor will have a display space.
  2. Promote & advertise the Wedding Expo before the event.
  3. Provide a list of brides (if noted per agreement, specified by booth type) that registered for the Expo within 5 business days after the event.

Responsibilities of Vendor

  1. Appropriate decoration of Vendor space at Wedding Expo, using materials only relevant to Vendor’s business and promoting only products/services sold by Vendor. Persons promoting products/services not specified in this agreement will be asked to leave the Expo immediately without any compensation.
  2. Staffing for Vendor’s space during the entire duration of the Wedding Expo as well as completion of Vendor’s space set up by 11 a.m. & load out by 7 p.m. the day of the Expo.
  3. Vendors must comply with all rules and regulations in both the Vendor Handbook & the facility’s guidelines including but not limited to food service, displays, prize giveaways & deadlines. Vendor is charged with knowing/complying with all laws pertaining to licensing, tax, health, safety and copyrights.
  4. Vendor agrees not to sell, lend or otherwise transfer this list to any other party. Communication must be limited to the business type listed below. Vendor agrees not to use the list to promote another business or event, even if promotion is combined with vendor information. Vendor agrees not to text the list without specific permission from the person being texted. Vendor acknowledges any liability for any unauthorized use of the list, which may include legal action and banning from further shows.
  5. New Vendors pay at least 20% down to reserve booth space at signing of this agreement. All Vendors must be paid in full 14 days before event. Vendors may cancel their space by notifying Legacy in writing 14 or more days before the Expo to receive a refund, less $100. Vendors who cancel in writing 29-15 days before the event will receive 1/2 of the monies received. Refunds will be issued after the Expo.
  6. Agreement that any space sharing must be pre-approved in writing by Legacy Media.  If Vendors have other businesses not previously approved in writing on the Expo floor with them, they will be asked to leave immediately – without any compensation for costs incurred or monies lost or paid.
  7. In the event of adverse weather conditions, fire, disaster, natural disasters, widespread and pervasive illness, labor disputes or any other cause beyond the control of the Expo, Legacy Media will relocate or reschedule the show without any liability suffered by the Vendor. Any monies paid by the Vendor will be rolled over and applied to the next Wedding Expo show. Money will not be refunded.
  8. Legacy Media and the facility will not be responsible for personal safety of Vendor and its representatives nor the safety of property from theft or damage. Vendor agrees to indemnify and hold harmless Legacy Media and the facility from all claims by Vendors or its employees arising out of any act or omission in any way related to the Vendor’s participation in the show.  
  9. If a dispute arises, it will be settled through binding arbitration in Bernalillo County, NM. This contract supersedes any other written or verbal communication with Legacy Media.

Non-Discrimination Policy

The New Mexico Wedding Expos is committed to providing welcoming & inclusive events for all attendees. We will not permit, tolerate, or condone discrimination by our attendees or vendors, including the refusal to provide products or services, on the basis of race, color, national or ethnic origin, ancestry, age, religion or religious creed, disability or handicap, sex or gender, gender identity or expression, sexual orientation, military or veteran status, or any other characteristic protected under applicable federal, state or local law. Advertiser Terms & Conditions

Responsibilities of Legacy Media / The Wedding Guide of New Mexico:

  1. Arrange a bridal planning publication, at which the advertiser has purchased ad space.
  2. Distribute and and promote the Wedding Guide.
  3. Work with the advertiser to produce as effective of an ad as possible.
  4. Create an online version of the Guide so brides have complete access in different channels. 

Responsibilities of Advertisers:

  1. Appropriate decoration of Vendor space at Wedding Expo, using materials only relevant to Vendor’s business and promoting only products/services sold by Vendor. Persons promoting products/services not specified in this agreement will be asked to leave the Expo immediately without any compensation.   For advertisers, advertisers must have the free and legal rights to any artwork or text used in their ads.
  2. Vendors must comply with all rules and regulations in both the Vendor Handbook and the facility’s guidelines including but not limited to food service, displays, prize giveaways & deadlines. Vendor is charged with knowing/complying with all laws pertaining to licensing, tax, health, safety and copyrights.
